Important Information and the Terms and Conditions for booking and attending Pilates Mat Classes, Winter 2025.
Twelve Weeks of Classes: Monday 6th January to Friday 4th April 2025
Half Term Off: Monday 10th to Friday 14th of February
For Winter 2025, you can buy
- Term of 12-week classes (1 hr for one person) for progressive and detailed teaching: £160 Booking opened 1st December 2024
- Term of 12-week small group class, in-person only, Mondays 12.30-1.30pm, six people max £198 Booking opened 1st December 2024
- Pass for eight classes you can choose from any of our classes, subject to availability, to be used during the 12-week term: £116 – Booking opens 6th January 2025
- Single Class £15 – Booking for individual classes opens on the 6th of January and is subject to availability
- Single Small Group Class £17.50 – Booking for individual classes opens on the 6th of January and is subject to availability
How to Use Your Booking
- The 12-week term £160 payment, is for one person attending the same class during the term – this is £13.3 a class.
- VERY IMPORTANT INFORMATION: Please book in to all twelve classes in the term, initially, so you get your space; Before the 6th of January, please do not book a space in a different class as a one off, which could block someone else joining that class for a whole term, thank you! Once term has started, if you cannot attend a class, you can can ‘cancel’ in your ‘schedule’ in your MINDBODY account with us, and as long as you have done this 24 hours in advance you can use the money to book in to a different class any time during the twelve weeks.
- The Monday lunchtime small group class falls in to a category of its own, no one from the other classes can book in to ‘make up’ in it. Attendees cannot use the MINDBODY software to book out and book in to a different class. I am giving all attendees two ‘make up’ classes during the 12-week term. To use them you need to email me and state which class you are not attending and which class, date, and whether online or in-person you want to attend instead and I can arrange it for you manually.
- A pass for eight classes to be used during the twelve-weeks of the term is for one person booking in for the classes they wish to attend. We recommend you try to attend the same class as much as possible to gain the benefits of regularlity and progressive teaching, but you can book in to different classes, subject to availability. Booking opens on the first day of term, Monday 6th of January 2025, to give those wanting to attend all twelve classes priority. You can cancel a class if you cannot attend up to 24 hours in advance and book in to a different class.
- You can book in for an individual class or use this type of booking to set your own number of classses to attend, eg four, seven etc. Booking for individual classes opens on the first day of term, Monday 6th of January, to give those wanting to attend all twelve classes priority. You can cancel a class if you cannot attend up to 24 hours in advance and book in to a different class.
The Different Class Types Available
Hybrid Pilates Matclasses:
- Most of our classes offer in-person and online attendance options for the term.
Online Only Classes:
- we have Tuesday 5.30-6.30pm Dynamic Pilates & Yoga Fusion with Gill Bertram, Tuesday 7.00-8.oopm General Pilates with Gill Bertram and Wednesday 6.45-7.45pm General Pilates with Bea Alexander
In-Person Only Classes:
- We have the one Small Group class which has no online-attendance.: Monday Lunchtime General Pilates Small Group Class at The Yoga Room, 3-5 Forth Street, 12.30pm, with Gill Bertram.
To Book for In-Person Matclasses: make sure you select the class labelled ‘in-person’ and have the venue listed . If you want to attend online, you can book out 24 hours in advance and book in to online instead and the booking system will send you the Zoom code in an immediate auto-email. Check you receive it.
To Book for Live Online Matclasses: make sure you choose the class labelled ‘live online’. You can change it to in-person by cancelling the live online booking in your schedule up to 24 hours in advance and booking for in-person instead, subject to availabiulity.
Pilates Equipment you need for class
Please have an exercise mat, a medium resistance exercise band, one small squashy Pilates ball seven inch or nine inch if you are pretty tall, and exercise blocks for propping, if you know you need them to sit on.

Terms and Conditions of Booking

- All booking are to be done online unless you have a disability, no access to the internet etc. Do email Bea if this is the case or text on 07951 686322. Bea is very happy to help. Email Bea before booking to get help if you are unsure of anything, but please read all the information provided on the website as the answers to most questions should be there. Do read and use the videos on the page ‘help with booking using MINDBODY’ as these might answer your questions, and demonstrate the booking process.

- Booking mistakes: If you book something you did not mean to, you can ‘early cancel’ the class or all of the classes in ‘My Schedule’ in your MINDBODY account, and re-book the class you meant to book; this includes swapping from online to in-person.

- Swapping from In-Person to Online and Vice Versa: if you do want to swap from in-person to online or vice versa, you do need to book out of one and book in to the other type for the same class as spaces are allocated to you. Please book out 24 hours or more in advance or you will be charged for the class. Go in to ‘My Schedule’ in your MINDBODY account and click on ‘cancel’, re-book in to the way you want to attend.

- All terms, passes and individually paid for classes are non-refundable in all circumstances, including illness and accidents such as breaking bones etc. We are fully sympathetic to people who become ill or have unforseen circumstances, but we need to have this policy to be able to run the classes, paying for the venues , teachers etc. We are a very small, teacher-led organisation. Thank you for understanding that we can’t make exceptions.

- We do have a 24 hour cancellation policy for all class bookings. This is so we have an idea of the numbers in a class and it gives others the chance to book a space in a class, especially in-person. If you wish to cancel a class, you need to go in to ‘My Schedule’ in your MINDBODY account and click on ‘Early Cancel’ next to that class. Then go back in to the mat classes page and find another class you want to book in to. You choose the date of the class you want to attend and click on it so it turns blue, and then when you click on enrol, it will enrol you without asking for any more money. If the system is asking you for more money, either you did not cancel a class in time – you do need to cancel 24 hours in advance – or you have clicked on more classes than you have money for, such as not selecting just one date. See the ‘help with booking using MINDBODY’ if you want to see the visuals of this.

- The 24 hour cancellation policy does mean if you get ill last minute or get held up at work, we do need to charge you for the class, as someone else could have had that slot and we still need to pay for the room teachers etc. Thank you for understanding that we cannot make exceptions.

- If you forget to follow the booking out / cancelling a class procedure, we do need to use your money for that class as someone else could have used the space, so do please book out using MINDBODY if you want to use the money for a different class. Thank you for understanding that we cannot make exceptions.

- Classes you cannot book in to using the booking system to ‘make up’ : There is one class you cannot use to ‘make up’ in – the Monday small group class in-person only with Gill at 12.30pm.

- If a teacher is off sick, we will either have another teacher cover the class, or in extreme emergencies we will cancel the class. We reserve the right not to notify you in advance of a change of teacher, although we will always try to. They will always be a qualified Pilates teacher – usually one of us!. If we have to cancel a class, we will email you as soon as we know we have to cancel. Please do check your emails regularly just in case. We do also leave phone messages for late cancel classes, so do check your phone. This occurs about once a year or once every two years due to sickness or an emergency, or snow!

- If we have to cancel a class, you will be able to book in to a different class during the fourteen weeks of the Autumn term.
Terms and Conditions of Online Attendance

- If you are late for Your Online Class: we do out best to notice people appearing in the waiting room and let in latecomers. We cannot guarantee this will happen, especially if you are more than ten minutes late. We have to concentrate hard, managing the people in the room and online, and do not always glance at the waiting room. We cannot give you another class if you are late and do not get let in.
- Zoom Links for Those of You Online: are given to you in the auto-confirmation email sent to you the moment you have booked a class. You will receive it within ten minutes of booking. If you have not, check Spam/ Junk, and if it is not there, email Bea immediately. The links stays the same for the term or block. We cannot send out the link each week to you in the auto-reminders as these are generic. Store it somewhere safe. If you lose it, please email Bea to send it to you again manually at least 24 hours in advance of your class as Bea teaches and is in the office sporadically. Thank you.
- Zoom Links if you Book In to a One-Off Class: it works the same – you will receive the zoom link in an immediate auto-confirmation email sent to you. Each termly class has its own link for that term.
- WiFi Problems – Ours: If we have wifi problems lasting more than fifteen minutes and cannot get you back we will of course give you access to another class to make up for it. We will know that they are our problems because we will not have any of you being able to log in or will lose you all.
- WiFi Problems – Yours: we will try to let you back in a couple of times, but if it gets more than this, it can prove disruptive for the rest of the class and we can’t continue to keep re-admitting you. We cannot give you an extra class if your wifi is not playing, I am sorry.
